# Ari privacy

Ari is the meeting notes service Daedalus Partners runs for its own team. This page explains what Ari collects when a Daedalus team member invites it to a meeting, including meetings on Zoom, and how that information is handled. ## When Ari joins a meeting

Ari joins only meetings a Daedalus team member has invited it to. It appears as a visible participant named “Ari Meeting Bot.” On Zoom, the meeting host must allow it to record, and Zoom shows its usual recording notice to participants. The host can refuse, remove Ari at any time, or ask us to delete what it captured.

## What Ari collects

-   Audio and video of the meeting while Ari is present.
-   Participant display names and speaker information provided by the meeting platform.
-   Meeting details such as the title, link and time.
-   Material Ari produces from the recording: transcripts, summaries, action items and search indexes.

For Zoom, Ari uses the Zoom Meeting SDK with a dedicated Zoom account that belongs to Daedalus. Our Zoom app reads that account’s own profile and requests a short-lived token so the bot can join. We store the account’s authorization tokens encrypted. Ari does not access other people’s Zoom accounts, contacts, calendars, chats or Zoom cloud recordings.

## How we use it

We use meeting information to produce notes, summaries and searchable records for Daedalus and for the clients a meeting concerns. We do not sell it, use it for advertising or use it to train AI models.

## Where it is processed

Recordings, transcripts and databases are stored on servers Daedalus operates in the United States. Transcription and search run on our own hardware. To write summaries, titles and action items, Ari sends transcript text to the OpenAI API. Optional illustrations are generated through OpenRouter from short prompts derived from the notes. These providers process that data under their API terms. Cloudflare protects access to Ari’s web interface.

## Retention and deletion

Recordings and notes are kept until Daedalus deletes them or someone asks us to. Deletion removes the recording and its derived material from Ari’s primary storage. Encrypted backups roll off on their normal schedule. We keep a minimal record that a deletion occurred.

## Security

Connections use HTTPS. Only authenticated Daedalus staff and people explicitly granted access can view Ari records. Service credentials and Zoom tokens are encrypted at rest.

## Your rights

If you took part in a meeting Ari recorded, you can ask us to tell you what we hold about you, correct it, delete it or stop processing it.
