For an accounting firm, a new inquiry often starts with a familiar complaint: the previous accountant stopped responding. A prompt reply is part of the service the prospect is looking for. Yet the firm's own follow-up depended on spreadsheets, pinned emails, and someone remembering whose turn it was to act.

The partners wanted to see the whole path from first contact to onboarding. Which prospects needed a reply? Who owed a fee quote? Had the client supplied the requested information? Which referral relationships were bringing in work that suited the practice?

Daedalus built a CRM around those questions. It brings lead intake, ownership, follow-up, communication, and the Karbon handoff into a shared workflow, while leaving the firm's practice-management system in place.

## Follow-up

We began with the people handling the inquiries. They showed us how a prospect moved through initial contact, fee expectations, document requests, review, and a quote. The information was spread across personal trackers and systems, so staff had to work out what needed to happen next.

Follow-up depended on who needed to act. An accountant who owed a quote needed a prompt reminder. A prospect who had been asked to return after a filing deadline needed a dated follow-up. A lead that was not a fit should stop appearing in the team's queue.

The central screen became an Action Queue, showing the work that needed attention and the person responsible for it.

## Workflow

1.  01 Lead intake
    
    Configured email intake and phone-call records become structured leads, with contact details and referral context attached.
    
2.  02 Assignment
    
    Each lead carries its status, client manager, owner, fee information, notes, and next action.
    
3.  03 Follow-up
    
    The Action Queue surfaces missing information, quotes, stale work, and communication waiting for attention.
    
4.  04 Messages
    
    Staff use editable templates and their own signatures. Authorized employees approve messages, and delivery history stays with the record.
    
5.  05 Karbon handoff
    
    At the agreed onboarding step, the system checks for an existing contact and creates the required Karbon record. The team continues the practice workflow there.
    

## Design decisions

We kept prospect onboarding separate from tax preparation. The team already used specialist software for tax work. Connecting every downstream tool in the first release would have made the project larger without fixing the immediate follow-up problem.

We also built around the firm's existing communication habits. Shared intake, individual employee identities, and a visible message history help the next person understand what has happened. Drafting, approval, and successful delivery are recorded as separate states.

Referral reporting connects each source to onboarded clients, fit, fees, and time to onboard. Leadership can see which relationships bring in suitable work, as well as how many introductions they produce.

## Results

The firm now has a live CRM where the next action, its owner, and the surrounding client history can be seen together. Staff can work from the queue instead of rebuilding their task list from separate inboxes. The approved Karbon handoff reduces another round of entering the same client details.

The firm estimates that the CRM saves more than ten administrative hours per week. That is a client-reported estimate, rather than an independently timed study. In everyday use, inquiries, quotes, messages, and onboarding now have a shared place and a clear next step.

The system retains activity history and provides exports and backups, so another member of staff can pick up a record without relying on the person who last handled it.

## Ownership

Each lead has an owner and a recorded next action. The team can see whether it owes a reply or is waiting on the prospect, with the previous correspondence available in the same record.
