Clinical portal integrations
MedPlexMD Injury (site) had already invested in its own clinical portal. The Birmingham practice wanted to handle more of its daily work there, but still depended on a separate EMR for services including telehealth and e-prescribing.
The gaps reached beyond those two services. Incoming records needed to be matched to the right patient and visit. Staff needed to prepare work for a clinician, see what remained outstanding, and move the appropriate information into billing. Each disconnected step meant checking another system or passing work to another person.
Daedalus worked with the practice’s team inside the existing portal. We added the missing integrations and improved the workflows around them, so the practice could bring more of its clinical operation into software it controls.

Integrations
A video link alone would not complete a telehealth workflow. Staff also needed to schedule the appointment, know which patient and provider were involved, see the room’s status, and follow the visit through the rest of the process.
For e-prescribing, the clinician needed to enter the prescribing service with the correct patient and provider context. We integrated specialist prescribing and video services into the practice’s portal.
We also improved scheduling, intake, document queues, clinic summaries, recommendation preparation, and billing review around the roles of the people using them.
Document processing
Medical records and other incoming documents were a substantial part of the administrative load. The Leon document-processing pipeline watches the portal queue, extracts structured information from PDFs, and connects that information to the relevant patient and workflow.

The queue records that a document has arrived and that processing has started.
- 02 Extraction
The pipeline reads the document and structures fields such as document type, date, facility, and relevant workflow information.
- 03 Matching
The system attempts to connect the document to the appropriate patient, visit, and configured rules. Exceptions remain visible for review.
- 04 Record updates
Supported paths update the portal’s records, notes, and billing workflow. Staff can review what remains outstanding.
- 05 Monitoring
Operational metrics track processing stages, completions, and failures without putting patient details into the measurement stream.
Clinical roles
The portal distinguishes preparation from clinical action. Case managers can prepare recommendations and supporting information; providers retain the responsibility for clinical orders and prescribing. Billing staff review the work relevant to their role.
Document processing has its own stages. Extraction, matching, and a completed billing post are different events. Staff can see where a record is in the process and where a person still needs to act.

The work extended an existing platform and involved the practice’s own technical and clinical team. Feedback from real workflows shaped the next changes, from how staff moved patients through an appointment to how a provider completed a prescription.
The ongoing work includes staff training, checking that the portal behaves consistently in daily use, and reconciling its records against source documents.
Results
MedPlex now has telehealth and prescribing connected to its patient workflow, with document processing feeding records and billing work into the portal. The practice can direct changes around its own priorities while continuing to use specialist services where needed.
The production baseline includes imaging, medical records, prescriptions, and other documents the practice routinely handles. The counts provide a starting point for tracking volume and examining work that still needs attention.
The practice can continue improving the portal with its technical and clinical team as their needs change. The integrations extend the system it already owns, with staff responsibilities defined within each workflow.
